Important Information about Address Books |
||
In moving contents of address books from the old system to the new system, you will want to be selective about those addresses you move. Many of us have a very large Frequent Contacts address book. In that book, many of the contacts we have are within the institution - people with @uvsc.edu addresses. Every single @uvsc.edu address will be changed, and the new system's address book will contain all of the current and valid addresses. Please don't move @uvsc.edu addresses into your new address book, as they will cause you great frustration when the recipients don't receive messages from you. The system address book is called "Novell GroupWise Address Book." There is no need to transfer any addresses from this book, since it has already been re-created in the new system. Often, there are addresses in our address books that were used only once, and we have forgotten the reason for keeping them. Other addresses were placed in our books automatically, and we don't even know to whom they apply. Many contacts in some address books are spammers, students who've long since left school, and people whose address has changed five times since they used the one we are storing. This is a good opportunity to clean house and get rid of a lot of old junk that we don't really want any more. Resist the temptation to move it all now and clean it up later. If you can get away with it, copy down or print out the few addresses you actually need, and enter them into the new system, rather than going through the export/import process. This will also serve as a good backup system, in case of problems later on. |

About Groups in Address Books |
||
Any groups you have created in your address books will very likely need to be re-created. Since every @uvsc.edu address will change, every address in most of your groups will no longer be valid in the new system. Of course, if your groups have e-mail addresses from people who aren't in the GroupWise system, it makes sense to save those contacts whose information hasn't changed. Take extra time looking through the groups you have created to ensure they are still valid if you move them to the new system. |

Risk of Data Loss |
||
The only time you risk data loss in transferring addresses is if you accidentally delete or forget to transfer a contact from your current address book. The export/import process has proven very easy and problem free. |

Time Element |
||
The process of manually cleaning up or organizing your current address book can be time consuming, depending on the number of contacts you have. The export/import process is quite fast - only takes a few seconds to do each operation. |

Manual |
||
If you have only a few addresses you wish to keep, you can write them down or print them out, then enter them into the new system. You may want to print out your current address books, then cross out the contacts you don't need any more if your address book isn't too large. You could save a tree if you cleaned up first!
