Important Information about Messages |
Some messages are very important. These messages are probably covered under GRAMA regulations and should be archived appropriately. Most messages, however, are short lived, unimportant, and unneeded after a short period of time. We urge you to consider very strongly how much data you wish to move into the new system. Remember also that the old system will be available to reference at least until January 2009. Our recommendation is to NOT MOVE ANY MESSAGES. |

Risk of Data Loss |
Data loss is entirely possible and somewhat likely in transferring messages to the UVU system. Since the risks are different for each method of transfer, we'll discuss those risks as we discuss each method.
Messages that have been transferred may not work exactly as they did in the UVSC system. Messages that were received in the UVSC system that are forwarded (not as an attachment) to the UVU system cannot be replied to (sender information is lost). Messages that were received in the UVU system that are forwarded (as an attachment) to the UVU system can be replied to, but the process to reply may not be as simple as you might expect. Messages that you sent in the UVSC system WILL lose their tracking information when transferred, which means you won't be able to retract or resend a message, or view properties about who has opened or deleted the message.

The Time Element |
Unless you transfer only a few messages using one of the methods listed, the time required will be demanding. The more messages you wish to transfer, the longer it can take. In cases with large numbers of messages, it could take days to transfer everything. |

Methods |
These are listed in the order we recommend them. There is a section below which discusses how to do each of these methods.
- Do Nothing - start from scratch with no messages transferred, leaving old messages in the old system.
- Save - rather than transfer messages, save (or print) the messages that are important to you.
- Manual - forward (preferably as an attachment) each message you wish to transfer
- Archive/Unarchive - risky, time consuming, and unsupported - PLEASE DON'T DO THIS

Do Nothing |
If you choose this method, you are already done! Great work! You can still access your old account to work with old messages until you decide to terminate your account or the old system is turned off in January 2009. |

Save |
If you have only a few messages you wish to keep, you can save them or print them out. GroupWise can now save messages in various formats, including Word compatible .RTF files. Note that saving large numbers of files using this method can be extremely time consuming and data loss may occur (due to naming conflicts) if you try to save more than one message at a time.

Manual |
If you have only a few messages you wish to keep, you can forward them (preferably as an attachment) to your new UVU account. If forwarded as an attachment, you can open the outer envelope and reply to or forward the original message (remember that if the message came from inside the GroupWise system, it won't be able to reply to the original sender's mailbox). Please use this method sparingly, as forwarding large numbers of messages could cause severe backlogs for the e-mail system. Depending on how many messages you wish to forward, this could become time consuming.

Archive/UnArchive |
Due to its risks, this method is unsupported by IT. We will give a few guidelines we recommend you follow if you choose to use it. First, we will discuss the reasons we don't support archives.
Archives have long been recommended against and unsupported by IT. The reason for their lack of support by IT is that these archives have had a tendency to go corrupt, and it is very unlikely we will be able to salvage anything from them if they go corrupt. Still, many people use archives, so we are providing a way to convert them for use in the new system. You should be aware that the conversion process to move messages via archives to the new system can be complex and very, very time consuming. We have also found that independent of the move process, upon unarchiving, sometimes errors occur, leaving in question the validity of the items stored in the archive.
If you choose to move your items by the Archive/UnArchive method, you should be aware that there are some serious risks in doing so. When items are place into the archive, they are removed from the GroupWise system. This means that if the archive goes corrupt, you will lose everything. For those with large amounts of information they wish to move, you should know that the larger the amount of data, the longer it will take to do this entire process - it could literally take days to move a large amount of data through all of the steps required. Finally, the process to complete this method can be complex, and must be followed with exactness for it to work correctly and without data loss.
You really don't want to do this!
- Set up a new location for transfer archive
- This is so you don't end up unarchiving everything from your old archive into the new system.
- NEVER use a network drive (any drive letter after E: ) for your archive.
- Make sure you have enough disk space in your archive location - otherwise you could corrupt your archive and lose everything.
- Archive everything - this can take a VERY long time
- Close GroupWise
- Follow instructions for FID editor (below)
- UnArchive everything into your new mailbox - this can take a VERY long time
- Return archive to it's original location

Using the FID Editor |
The process of changing the FID (File ID) of your archive is complex, but doesn't take a long time. The process must be run on the computer where your archive is stored. Also note that this process will not work if you have already terminated your UVSC account.
Changing the FID for your archive will require the HelpDesk to remote control your computer, login as an administrative user, and run a series of complex operations, which will require your presence and participation.
